Smartphone Free Childhood collects and processes your personal information in accordance with this privacy policy. This policy provides you with information regarding our obligations and your rights in compliance with the General Data Protection Regulation (GDPR).

Information we collect from you

Information that you provide to us directly might include personal information such as your name, email address, postal address, school, telephone number and other personal details.

When you visit our website, we also automatically collect certain technical information about your visit through our web analytics tool, PostHog. This includes page views, links and buttons you click, on-screen events, and, if you encounter a technical fault, anonymised browser console log data to help us diagnose the issue. This information is linked to a randomly generated identifier rather than your name, unless you separately provide us with personal information elsewhere on the site.

How we use personal data

We are using your personal data to provide you with details of our organisation, news and updates. We may also process your personal data to conduct analysis, evaluation and research to understand the impact of our activities and improve our work. You are free to withdraw this consent at any time.

We respect your privacy at all times. Your information will never be disclosed or shared with others without your consent, unless required to do so by law.

We use the website analytics data described above to understand how people use our website — for example, which pages are most visited, how visitors navigate the site, and where they experience errors — so that we can improve its content and performance.

Most of the personal information we process is provided to us directly. We also receive personal information indirectly, from the following sources in the following scenarios:

  • From WhatsApp groups offering support and volunteering
  • Subscriptions to services
  • Using tools on our website where you enter your details such as writing a letter to your MP
  • If you make a donation using our iRaiser platform

Cookies and website analytics

Our website uses cookies set by PostHog, our web analytics provider, to collect the information described above (page views, clicks, on-screen events and console logs). These cookies allow us to recognise your browser between visits so that we can understand overall usage patterns; they are not used to identify you personally.

These analytics cookies are only set with your consent, given via the cookie banner on our website. You can withdraw your consent, or change your cookie preferences, at any time by adjusting your choice in the cookie banner or in your browser settings. Choosing not to accept these cookies will not affect your ability to use the rest of the website.

Who we share data with

We may share this information with members of Smartphone Free Childhood and journalists (if you have approved this through our sign-up form). There are also additional forms to opt into sharing your details with others in the area.

The website analytics information described above is processed on our behalf by PostHog Inc., using PostHog's EU data hosting region. This means the data is processed and stored on servers within the European Union. PostHog acts as a data processor and only processes this information in accordance with our instructions.

Smartphone Free Childhood is a restricted fund operating under the auspices of Prism the Gift Fund (charity no. 1099682). In the instance that Smartphone Free Childhood becomes its own charity or similar entity, Prism the Gift Fund will share your personal data with the relevant new charity or entity. We do this to ensure that you are still able to continue to support the relevant cause as initially intended. If you would prefer us not to share your information in this way, please let us know by contacting our Head of Compliance at harry@prismthegiftfund.co.uk.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting hello@smartphonefreechildhood.org
(d) We have a vital interest.
(e) We need it to perform a public task.
(f) We have a legitimate interest.

For website analytics cookies specifically, the lawful basis we rely on is your consent (basis (a) above), given via our cookie banner.

How we store personal data

Your information is securely stored in our CRM system, which only the SFC team are permitted to access. We will only retain personal information for as long as is necessary. For further details on our data retention periods please contact us. We will then dispose your information by deleting all personal information from our CRM. If you opt out or unsubscribe from SFC we remove your information within 24 hours.

Website analytics data collected via PostHog is retained in accordance with PostHog's standard data retention settings and is stored within the EU.

Data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
